Terms of Service
Last updated: 12 October 2026
These Terms of Service (“Terms”) govern your access to and use of OneTaxi, dispatch software for taxi and private-hire firms operated by OneTaxi (“we”, “us”, or “our”). By creating an account, accessing the Service, or using any part of it, you agree to be bound by these Terms. If you are accepting these Terms on behalf of a firm, company or other legal entity (“Customer”), you represent that you have the authority to bind that entity.
Please read these Terms carefully. They include important provisions about limitation of liability (Section 10), warranty disclaimers (Section 9), and governing law (Section 14).
1. The Service
1.1 Service Description
OneTaxi is a cloud-based platform for running a taxi or private-hire firm. It takes bookings, shows the office where its cars are, ranks the drivers who should take each job and offers it to their phones with the reason, lets passengers follow their car on a tracking page, and keeps the firm’s accounts, invoices and driver statements. The Service includes the OneTaxi office web application, the driver apps for iPhone, Android and the browser, the passenger tracking page, and email delivery of setup links, password resets and invoices.
1.2 Automated Suggestions and AI Features
Driver rankings, estimated distances, quoted prices and other outputs produced by OneTaxi are generated by automated rules and, where enabled for your firm, artificial intelligence. While we strive for accuracy, these outputs may contain errors or omissions. Your firm remains responsible for its dispatch decisions, the fares it charges, and the conduct of its drivers, and for reviewing outputs before relying on them. OneTaxi’s outputs are not a substitute for professional advice or your own regulatory records.
1.3 Service Availability
We aim to provide reliable access to the Service. However, the Service is provided on an “as available” basis. We may perform scheduled maintenance, and unplanned outages may occur. The driver apps depend on each phone’s mobile signal and location services, which are outside our control. Where your order form includes a service level commitment, that commitment governs.
2. Accounts
2.1 Account Creation
Office accounts are created by invitation: we set up your firm and its first manager, and managers invite the rest of the office using a valid email address. Drivers sign in to the driver apps with the firm’s name, the number the office gives them, and a PIN. Each account belongs to one firm.
2.2 Account Security
You are responsible for:
- Maintaining the accuracy of your account information.
- Keeping passwords and PINs confidential, and not sharing an account between people.
- All activity that occurs under your account, whether by you or others who have access to your credentials.
- Notifying us promptly at
if you suspect unauthorised access to your account.
2.3 Office Managers
Office managers can invite and remove office users, assign roles, add and manage drivers, and configure the firm’s settings, zones and prices. Managers are responsible for ensuring that the people and drivers within their firm comply with these Terms.
3. Subscriptions and Billing
3.1 Subscription
OneTaxi is licensed to your firm under an order form or written agreement between you and us. That agreement sets out the scope of your subscription, its term, and the fees payable. We may modify features with reasonable notice.
3.2 Included Capacity
The capacity included in your subscription (including drivers, office users, and booking volume) is as stated in your order form. Where a limit is reached, we will contact you to agree an adjustment rather than interrupt the Service.
3.3 Fees
Fees are as set out in your order form. OneTaxi does not publish list pricing; each subscription is quoted for the firm. Unless the order form states otherwise, fees are exclusive of applicable taxes and are stated in pounds sterling.
3.4 Evaluations
We may agree an evaluation period with you in writing. Unless your order form states otherwise, access provided for evaluation ends at the close of that period, and is provided without any service level commitment. Booking a demo creates no contract.
3.5 Cancellation and Non-Renewal
Your subscription runs for the term set out in your order form. You may choose not to renew it, on the notice stated in that document. Access to the Service ends when the term ends, and Section 12.4 governs what happens to your data at that point. No refunds are provided for partial billing periods unless required by applicable law.
3.6 Price Changes
We may change our prices with at least 30 days’ notice. Price changes take effect at the start of your next billing period after the notice period. If you do not agree with a price change, you may cancel before it takes effect.
4. Acceptable Use
You agree that you will not use the Service to:
- Dispatch drivers or vehicles that are not licensed as required by the licensing authority that licenses your firm.
- Upload personal data that you do not have the right to collect or use.
- Upload content that is unlawful, harmful, threatening, abusive, defamatory, or otherwise objectionable.
- Attempt to gain unauthorised access to the Service, other firms’ data, or systems connected to the Service.
- Reverse-engineer, decompile, or disassemble the Service or its underlying software, except as permitted by applicable law.
- Use the Service to build a competing product or service.
- Resell, sublicense, or redistribute access to the Service without our written consent.
- Introduce malware, viruses, or other harmful code.
- Interfere with or disrupt the Service, including through automated scripts, bots, or denial-of-service attacks.
- Circumvent usage limits, feature gates, or access controls.
We may suspend or terminate accounts that violate these restrictions. Where possible, we will provide notice before suspension and an opportunity to remedy the violation.
5. Your Data
5.1 Ownership
You retain all ownership rights to your bookings, customer and driver records, invoices, statements, and other content that you enter into or generate through the Service (“Your Data”). OneTaxi does not claim ownership of Your Data.
5.2 Licence to Operate
By entering data into OneTaxi, you grant OneTaxi a limited, non-exclusive, worldwide licence to store, process, and transmit Your Data solely for the purpose of providing the Service to you. This includes ranking drivers, sending offers to drivers’ phones, showing positions on maps, producing invoices and statements, delivering emails, and making Your Data available in the office and the apps. This licence terminates when Your Data is deleted.
5.3 No AI Training on Your Data
We do not use Your Data to train AI models, and we do not share any personal information with our AI models. Your bookings, customers and drivers are processed solely to provide the Service.
5.4 Data Responsibility
You are solely responsible for Your Data, including ensuring that you have the necessary rights and lawful basis to enter and process it. You represent that Your Data does not violate any third party’s intellectual property rights, privacy rights, or applicable laws.
5.5 Licensing, Drivers and Passengers
OneTaxi processes booking and fleet data on your behalf. You, as the Customer, are the data controller for all booking and fleet data (customers, passengers, drivers, bookings and driver locations) processed through the Service. OneTaxi acts as your data processor, processing this data solely on your instructions and in accordance with these Terms.
As the data controller and a licensed firm, you are solely responsible for:
- Complying with the conditions of your operator licence and all applicable licensing, record-keeping and consumer laws.
- Telling your drivers that the driver app collects their location while they are on shift, and your customers and passengers how their details are used.
- Keeping driver, vehicle and licence records accurate and up to date.
- Responding to data subject requests from customers, passengers and drivers regarding their personal data held in the Service.
OneTaxi provides controls (including roles, driver exclusions, zones and settings) that office managers can configure to support compliance with your policies. It is your responsibility to configure and use these controls appropriately.
6. OneTaxi’s Intellectual Property
OneTaxi owns and retains all rights in the Service, including the software, design, documentation, and all related intellectual property. These Terms do not grant you any rights to OneTaxi’s trademarks, logos, or brand assets. Nothing in these Terms transfers ownership of any OneTaxi intellectual property to you.
7. Data Handling and Privacy
7.1 Privacy Policy
Our collection, use, and disclosure of personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference.
7.2 Data Processing Roles
For the purposes of data protection law:
- Customer as controller: you are the data controller for all booking and fleet data processed through the Service, including customer records, passenger details, driver records, driver locations, and any personal data contained in bookings, messages, invoices and statements. You determine the purposes and means of processing this data.
- OneTaxi as processor: OneTaxi processes booking and fleet data solely on your instructions (as defined by your use of the Service and these Terms) and for the purpose of providing the Service to you.
- OneTaxi as controller: OneTaxi is the data controller for account data (names, emails, roles), billing and subscription data, usage statistics, and other operational data necessary to operate the Service.
7.3 Processing Obligations
When processing booking and fleet data on your behalf, OneTaxi will:
- Process it only as necessary to provide the Service and in accordance with your instructions as expressed through your use of the Service.
- Ensure that personnel authorised to process it are bound by confidentiality obligations.
- Implement appropriate technical and organisational security measures, including database-level isolation between firms, encryption in transit, and an audit record of significant actions.
- Notify you without undue delay upon becoming aware of a personal data breach affecting your data.
- Upon termination of your account, delete your data on your written request, unless retention is required by applicable law.
- Make available to you information reasonably necessary to demonstrate compliance with these processing obligations.
7.4 Sub-processors
You provide general authorisation for OneTaxi to engage sub-processors to assist in providing the Service. The categories of sub-processors are described in our Privacy Policy. We will notify you of material changes to our sub-processor categories. If you object to a new sub-processor category, you may terminate your subscription.
7.5 Data Isolation
Each firm’s data is completely isolated at the database level. Users in one firm cannot access data belonging to another firm.
7.6 Data Deletion
Driver shift records are permanently deleted after 90 days, and driver location is not kept as a history. Customer records are erased, and a firm’s data deleted, on written request to
8. Confidentiality
We treat Your Data and your firm’s configuration as confidential. We will not access Your Data except as necessary to provide the Service, diagnose issues at your request, or comply with legal obligations. Our employees and contractors who have access to your data are bound by confidentiality obligations.
9. Warranties and Disclaimers
9.1 Our Warranties
We warrant that:
- The Service will perform materially in accordance with its documentation.
- We will use commercially reasonable efforts to maintain the security of your data.
- We will not materially reduce the core functionality of the Service during your subscription period without notice.
9.2 Disclaimer
Except as expressly provided in Section 9.1, the Service is provided “as is” and “as available” without warranties of any kind, whether express, implied, or statutory. We disclaim all implied warranties, including warranties of satisfactory quality, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or completely secure.
Automated and AI-generated outputs (including driver rankings, estimated distances, prices, and AI-written text) may contain errors. We do not warrant the accuracy, completeness, or reliability of any such output. You are responsible for reviewing and verifying outputs before relying on them.
10. Limitation of Liability
To the maximum extent permitted by law, OneTaxi shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, revenue, data, business opportunities, or goodwill, regardless of the cause of action or the theory of liability.
Our total aggregate liability arising out of or relating to these Terms or the Service shall not exceed the greater of (a) the total fees paid by you to OneTaxi during the twelve (12) months immediately preceding the event giving rise to the claim, or (b) one hundred pounds (£100).
These limitations apply whether or not we have been advised of the possibility of such damages and notwithstanding any failure of essential purpose of any limited remedy. Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be limited or excluded under the law of England and Wales.
11. Indemnification
You agree to indemnify and hold harmless OneTaxi from any claims, losses, damages, liabilities, and expenses (including reasonable legal fees) arising from: (a) your use of the Service, (b) Your Data, (c) your violation of these Terms, (d) your violation of any third party’s rights, including intellectual property rights and privacy rights, or (e) the transport services your firm and its drivers provide.
12. Term and Termination
12.1 Term
These Terms take effect when your firm’s account is created and remain in effect as long as you use the Service.
12.2 Termination by You
You may stop using the Service at any time, subject to your order form. To terminate your firm’s account, or to have your own account removed, contact your office manager or email us at
12.3 Termination by Us
We may suspend or terminate your access to the Service if: (a) you materially breach these Terms and fail to cure the breach within 30 days of notice, (b) your use of the Service poses a security risk to us or other users, (c) your account has been inactive for more than 12 months and no order form is in effect, or (d) required by law.
12.4 Effect of Termination
Upon termination, your right to access the Service ceases, and your firm’s account is closed so that no one can sign in to it. If we terminate for our convenience (not for your breach), we will refund any prepaid fees for the unused portion of your subscription. Before termination you can export your booking history as a spreadsheet and your invoices and statements as PDF documents. We will permanently delete your data on your written request, unless a longer retention period is required by law. Sections 5.1 (Ownership), 6 (Intellectual Property), 8 (Confidentiality), 9 (Warranties), 10 (Limitation of Liability), 11 (Indemnification), and 14 (Governing Law) survive termination.
13. Changes to These Terms
We may update these Terms from time to time. If we make material changes, we will notify you by email or by posting a notice in the Service at least 30 days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms. If you do not agree with the changes, you may cancel your subscription before they take effect.
14. Governing Law and Disputes
These Terms are governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles. Any disputes arising out of or relating to these Terms or the Service shall be resolved in the courts of England and Wales. Both parties consent to the exclusive jurisdiction of these courts.
15. General Provisions
15.1 Entire Agreement
These Terms, together with the Privacy Policy and your order form or any separate written agreement, constitute the entire agreement between you and OneTaxi regarding the Service. Where your order form or separate agreement conflicts with these Terms, that document prevails.
15.2 Severability
If any provision of these Terms is held invalid or unenforceable, the remaining provisions will continue in full force and effect.
15.3 No Waiver
Our failure to enforce any provision of these Terms does not constitute a waiver of that provision or any other provision.
15.4 Assignment
You may not assign these Terms without our prior written consent. We may assign these Terms in connection with a merger, acquisition, or sale of all or substantially all of our assets, provided that the assignee agrees to be bound by these Terms.
15.5 Force Majeure
Neither party shall be liable for any failure or delay in performance due to circumstances beyond its reasonable control, including natural disasters, acts of government, internet, mobile network or infrastructure failures, or labour disputes.
15.6 Notices
Notices to you will be sent to the email address associated with your firm’s account. Notices to OneTaxi should be sent to

OneTaxi Driver App Terms
Last updated: 12 October 2026
1. About these Terms
These terms apply when you access or use the OneTaxi Driver application or browser-based driver service (“Driver App”).
OneTaxi provides dispatch software to the taxi or private-hire firm you drive for (“your Firm”). Your Firm issues your driver account and controls your access to its dispatch operations.
By signing in or using the Driver App, you agree to follow these terms and the OneTaxi Privacy Policy.
These terms govern your use of the Driver App. They do not replace your agreement with your Firm, determine your employment status, or change your Firm’s legal responsibilities.
2. Your Account and Responsibilities
Your Firm provides the driver identifier and sign-in details needed to access the Driver App.
You must:
- Keep your sign-in details confidential and not allow another person to use your account.
- Provide accurate information when requested.
- Use the Driver App only for authorised work and lawful purposes.
- Follow your Firm’s lawful operating instructions and applicable transport requirements.
- Notify your Firm promptly if your driver account or vehicle details are incorrect.
- Report suspected unauthorised access, security issues or misuse of the application.
Your Firm determines which jobs you are offered, the operating settings that apply to you and whether your access to its account should be changed or removed.
3. Location and Notifications
The Driver App uses your phone’s location while you are on shift, including during a break, to support dispatch, vehicle tracking and passenger updates. It stops when your shift ends or you sign out.
Depending on your device and the permissions you grant, location updates continue while the phone is locked or another application is open.
While you are on a job, your route is saved with the booking, and a help alert records your last known position. Ending a shift does not delete these records.
You can manage location and notification permissions through your device settings. Turning them off may affect dispatch, tracking or notification features.
For more information about how location and other personal data are handled, read section 5 of the OneTaxi Privacy Policy, and contact your Firm if your question concerns its use of your driver information.
4. Messages and Conduct
Messages in the Driver App are for operational communication between you and your Firm.
There is no tolerance for objectionable content or abusive users. You must not use messaging features to send content that is threatening, harassing, discriminatory, abusive, unlawful or otherwise seriously inappropriate. You must not use them to impersonate another person, threaten anyone or misuse another person’s personal information.
OneTaxi may review reported messages or related information to assess reports, protect users, investigate misuse and comply with applicable law. We remove objectionable content and suspend the accounts that send it.
We act on reports within 24 hours and handle them fairly and proportionately.
5. Reporting and Blocking
Press and hold a message to report it, or to block the person who sent it.
A report goes to OneTaxi and may be referred to your Firm where appropriate. We may ask for further information to assess a report.
Blocking hides that person’s messages from you straight away and lets OneTaxi know. It does not necessarily prevent that person from offering or allocating jobs through the Firm’s dispatch system.
If you are concerned about your safety, a threat or serious misconduct, contact your Firm and, where appropriate, the relevant emergency service or authority. Do not rely only on the in-app reporting feature in an emergency.
6. OneTaxi’s Role
OneTaxi provides the software used by your Firm. Unless separately agreed, OneTaxi is not your employer, transport operator or manager.
Your Firm remains responsible for dispatch operations, driver supervision, employment or contractor arrangements, and the decisions it makes about your work.
OneTaxi may take technical or account-level measures to protect the Driver App and its users, but does not guarantee that the Service will be continuously available or that every message, job offer or notification will be delivered successfully.
7. Privacy and Security
You must not use the Driver App to access information that you are not authorised to see, or disclose customer, passenger, driver or Firm information to unauthorised people.
OneTaxi handles personal data in accordance with its Privacy Policy and applicable law. Your Firm is generally responsible for the operational driver and booking information it controls.
If you believe your personal information has been used improperly, you may contact your Firm or email
8. Suspension and Access Removal
Your Firm may remove your driver access in accordance with its own policies and applicable law.
OneTaxi may restrict or suspend access where reasonably necessary to protect the Service, respond to suspected misuse, address a security risk or comply with legal requirements.
Where practicable and appropriate, we will provide information about a restriction and any available next steps. A restriction on access to the Driver App does not itself determine your employment or contractual status with your Firm.
9. Changes to These Terms
We may update these terms to reflect changes in the Driver App, our safety processes or applicable law.
We will make material changes available through the Service or another appropriate channel, and you will be asked to agree to the updated terms the next time you sign in. Where a change requires specific consent, we will obtain it before relying on that consent.
